Kinetfold operates this website and is the controller of personal data collected through it for the purposes described in this Privacy Policy.
Privacy enquiries and requests relating to personal data can be sent to privacy@kinetfold.com.
2. Scope of this policy
This Privacy Policy explains how personal data is collected and used when you browse this website, submit a form, request information or a quotation, communicate with Kinetfold or engage Kinetfold to provide services.
3. Personal data we may collect

4. How we collect personal data
Data may be collected directly from you through website forms, email, telephone or project communications; automatically through essential website and security technologies; through analytics where permitted; or from public business sources and professional platforms where relevant to a legitimate business enquiry.
5. Why we use personal data and our legal bases
- To respond to enquiries and prepare proposals: steps taken at your request before entering into a contract and, where appropriate, legitimate interests.
- To provide and administer services: performance of a contract.

6. Forms and correspondence
Website forms are managed using Fluent Forms. Form submissions may be stored in WordPress and delivered by email using FluentSMTP through Kinetfold’s domain email service. Information submitted through a form is used to assess and respond to the request and, where relevant, to prepare or deliver services.
7. Cookies and analytics
The website uses essential technologies needed for operation and security. Google Analytics 4 may be used to understand website usage and performance. Non-essential analytics cookies are only used in accordance with the visitor’s consent where consent is required. More information is available in the Cookie Policy.
8. Service providers and recipients
Kinetfold uses third-party providers where necessary to operate and secure the website and provide services. These currently include WebTuga for hosting and domain email infrastructure, WordPress as the content management system, Fluent Forms for forms, FluentSMTP for website email delivery, Wordfence for website security, Google Analytics 4 for website analytics, and Rank Math for search engine optimisation features. Other professional, accounting, backup or cloud services may be used where necessary for a client relationship.
Providers are permitted to process personal data only for the relevant service and subject to applicable contractual and legal safeguards.
9. International transfers
Some service providers may process personal data outside the European Economic Area. Where this occurs, Kinetfold relies on an applicable adequacy decision, approved contractual safeguards or another lawful transfer mechanism available under data protection law.
10. How long we keep data
- General and unsuccessful enquiries: normally up to 24 months after the last meaningful contact, unless a longer period is needed for a legitimate reason.
- Client and contractual records: for the duration of the relationship and for the period required by applicable legal, tax, accounting and claims obligations.
- Security logs and backups: according to the retention settings of the relevant hosting and security systems.
- Analytics data: according to the retention settings configured in Google Analytics 4.
- Consent records: for as long as reasonably necessary to demonstrate the choices made.
11. Security
Reasonable technical and organisational measures are used to protect personal data, including access controls, software updates, backups, encrypted connections, anti-spam controls and security monitoring. No internet service can be guaranteed to be completely secure.
12. Your rights
Subject to applicable law, you may have the right to request access to, correction or deletion of your personal data; restriction of processing; data portability; objection to certain processing; and withdrawal of consent without affecting processing already carried out lawfully.
You also have the right to lodge a complaint with a competent supervisory authority. In Portugal, the national supervisory authority is the Comissão Nacional de Proteção de Dados (CNPD).
